Gemini for Education is included free across Google Workspace for Education editions, but faculty access requires a campus administrator to switch it on.
Gemini for Education is included in all Google Workspace for Education editions free of charge. In the guides we publish here at Chalkbox, we examine classroom software so educators understand their administrative boundaries before building course materials around third-party platforms. While the core application costs nothing extra, instructors can only log in if a campus administrator has explicitly enabled the app inside the institutional console.
Qualifying colleges and universities can get Gemini for Education through Education Fundamentals at no charge, even when an institution relies on another productivity ecosystem for primary office tasks. Institutions that want deeper integrations across Docs, Sheets, and Slides upgrade to Education Plus or purchase dedicated user add-on licenses.
| Plan | Price | Gemini Notebook | Gemini Inside Other Apps |
|---|---|---|---|
| Education Fundamentals | $0 for qualifying institutions | Included | Classroom |
| Education Plus | $6.00 USD per user/per year | Included, higher limits | Docs, Sheets, Slides, Vids, Forms |
| Google AI Pro for Education add-on | $15 per user a month with a one-year commitment, or $24 per user a month billed monthly | 5x more notebooks, chats and sources | Gmail, Meet, Drive, Docs and more |
Google also publishes a 25 percent discount on the AI Pro add-on for Education Plus customers buying between 50 and 999 licenses under a one-year commitment. For professors looking to build individual assignments without campus-wide rollouts, our analysis of free AI student plans outlines other no-cost avenues available in higher education.
Google states that your institution's data is not human-reviewed or used to train AI models when accessed through an institutional education account. According to Google, Gemini for Education operates as a Core Service covered under standard Google Workspace for Education terms. Google's education privacy FAQ adds that Workspace for Education chats in Gemini and NotebookLM "are not reviewed by human reviewers or otherwise used to improve generative AI models."
Campus IT departments maintain oversight of user activity on these managed domains. Administrators can use Google Vault to search and export Gemini conversations generated within their domain. That means campus administrators can find and export your Gemini chats, so treat them as institutional records.
Our ChatGPT Edu and Claude for Education guides cover how OpenAI and Anthropic handle training on their campus plans.
Faculty access to Gemini for Education requires an institution-level administrator to enable the service inside the Google Admin console. To turn on Gemini for Education, a campus administrator goes to Menu > Generative AI > Gemini app > Service status in the Admin console. The administrator can turn it on or off for everyone, for specific organizational units (OUs) or for groups. Changes can take up to 24 hours.
Once an administrator turns on Gemini for Education, faculty members sign in using their official university credentials at gemini.google.com or through the Gemini mobile app. Google lists these features for Gemini for Education:
Features differ for students under 18. Google provides Gemini for Education to students of all ages, but users under 18 receive a modified product experience with additional guardrails. Users under 18 cannot use the Thinking model, Deep Research, file upload, Connect to GitHub or video generation. They can use the Pro model, Canvas, Audio Overviews, image generation and Gems.
If Gemini is unavailable on your school account, either your campus lacks a qualifying Workspace for Education edition or your administrator has not enabled it for your organizational unit. Contact your department chair or campus IT helpdesk and request that your organizational unit be switched to On within the generative AI admin console.
Google renamed NotebookLM to Gemini Notebook on July 16, 2026. Gemini Notebook is included in Education Fundamentals and Education Plus. For a step-by-step breakdown of document grounding, consult our tutorial on how to use NotebookLM.
Google's comparison chart shows higher Gemini Notebook limits and more sources on Education Plus, and 5x more notebooks, chat queries and sources on the AI Pro tier.
Faculty considering whether to request an upgraded departmental license can review our breakdown of NotebookLM pricing for institutional budgets. You can also review our comparison of NotebookLM vs Gemini to determine whether an open chat assistant or a grounded research notebook better serves your seminar preparation.
College instructors must separate managed Gemini for Education accounts from Google's direct-to-consumer student marketing. Google promotes a student offer that provides eligible United States college students with 12 months of Google AI Pro at no cost, valued at $19.99 per month. Outside the United States, that consumer program awards Google AI Plus rather than AI Pro.
These two offerings run under entirely separate administrative and privacy structures:
Students can check eligibility on Google's Gemini for students page, and our Gemini student offer guide covers the terms. Faculty should not advise students to upload unpublished university research or graded coursework to consumer accounts that operate outside campus data protection terms.
Gemini for Education serves departments already organized around Google Drive, Docs, and Google Classroom who want institutional generative AI without paying incremental software licenses. It includes Gems, Canvas and Audio Overviews under Google Workspace for Education terms. On the free Education Fundamentals edition it does not include Gemini in Docs, Sheets or Slides, which needs Education Plus, and Deep Research is limited.
If your campus IT committee has not approved Google's core generative AI terms, faculty cannot use Gemini for Education in their courses.
To check your access, sign in to gemini.google.com with your campus account. If Gemini is unavailable, ask campus IT to enable it for your department.
